Build a form: fields, pages, and rules
Add fields from the palette, arrange them into pages and sections, configure each one, map fields to your CRM, add conditional rules, and let autosave keep your changes in sync.
Before you start
- You need a form already created — from Forms, click the form's row to open it (an Active form opens read-only until you click Edit form), or see Create a form to start a new one.
- The builder has three tabs at the top: Builder, Settings, and Publish. This page covers the Builder tab plus the rules section of Settings; publishing is covered in Publish and share a form.
- Next to those tabs, a Responses link shows how many submissions the form has and opens the responses list filtered to this form. The count is as of when you opened the builder. Templates don't have it.

- Preview in the builder header opens the form in a new tab exactly as a respondent sees it, at any status.
Steps
Add a field from the palette
The left panel is headed Pages & Fields: Pages at the top and, below a divider, the palette split into Field Groups and Fields. Click any entry to add it to the page you're on. Collapse the panel with the icon in its header; an Add Field button appears at the left edge while it's collapsed.

Field Groups — multi-field blocks that also connect answers to your CRM:
- Contact Information — First Name, Last Name, Email, Phone
- Organization Information — Organization Name, Website, Industries
- Address — Street Address, Apt/Suite, City, State, ZIP / Postal Code
- Property Information — only enabled on a multi-page form that doesn't already have property pages or a Property Information group; adding it opens a separate setup dialog before anything is inserted
Adding most groups opens a small dialog asking where the answers should be saved (for example, whether a Contact Information group is the main point of contact or an additional one) — you can also choose not to save the group to your CRM. You can change this choice later from the group's own settings. See Field groups and reusable field sets for each group's options.
Fields — single-question fields, added directly with no dialog:
Input, Textarea, Dropdown, Phone, Email, URL, Checkbox, Date, Typography, Signature, Table, Formula, Upload, Industries.

Configure a field
Click a field on the canvas to open Field Details in the left panel. The panel is laid out the same way for every type:

- Label — the question text shown to respondents. Typography fields show a Content editor here instead, since they ask nothing.
- Help Text — optional text shown below the label.
- The settings specific to this field type — the Input Type picker for an Input, the Options editor for a Dropdown or Checkbox, the column list for a Table, the formula editor for a Formula, and so on. They sit here, above the Field Type switcher — not inside Advanced.
- Field Type — switch the field to a different type, keeping its label, help text, and required setting. Disabled for property-page fields, with a note explaining why.
- Required and Hidden toggles, plus Multiselect on Dropdown and Checkbox fields, and Capture Date & Time / Show Date on Signature fields.
- Scoring — a collapsible section for connecting the field to a scoring criterion. See Form scoring criteria and AI scoring.
- Advanced — a collapsible section holding just two things: the field's Key and its Auto Populate CRM mapping.
A field with Hidden switched on is never required, even if Required is on as well — hiding a field always takes it out of validation.
Split, duplicate, and delete a field
Three buttons sit at the bottom of Field Details:
- Split Row — moves the field onto its own line when it currently shares one.
- Duplicate Field — adds a copy with all its settings.
- Delete Field — removes it.

Split Row and Duplicate Field are hidden for property-page fields. To put two questions side by side instead, drag one onto the other's row on the canvas; fields already sharing a row can be dragged left and right to reorder.
Map a field to your CRM
Expand Advanced and use Auto Populate to connect the answer to a contact, organization, project, or property record, so a submission updates your CRM without retyping. A field that's part of a mapped field group shows its mapping read-only, with a note that it's "Managed by the group's CRM auto-save setting." Read the badges on the canvas
Each field's card carries a type badge in its top-right corner (Input, Number, Currency, Email, URL, Dropdown, Table, and so on) and, underneath, up to three status badges:
- Scored — a scoring criterion evaluates this field.
- Rule — a conditional rule uses it as a trigger or a target.
- Mapped: entity · value — it's connected to a CRM record.

A hidden field shows a crossed-out eye icon beside its label, and a hidden page shows a banner reading "This page is hidden from respondents."
Reorder fields and pages
Hover a field row to reveal a grip handle on its right edge and drag it to reorder within the page. In the Pages list, hover a page to reveal up/down arrow buttons that swap it with its neighbor, and a trash icon to delete it (only shown when the form has more than one page). Press Esc to deselect whatever field or group you have open.
Group questions into a section
A page can be divided into sections. Each section has an inline name box, a collapse arrow, and icons to add a field to it, duplicate it, or delete it, and a drag handle to move it up and down the page. Sections are useful on their own for long pages — and they can be shown or hidden by a rule as a block, so you can reveal five related questions at once rather than five separate rules.
Add pages
Click Add Page at the bottom of the Pages list to insert a new page after the one you're viewing. The canvas header shows the page's name as an editable box and its position ("3 of 5"), with Previous and Next and numbered page buttons at the bottom. An empty page reads No fields yet with an Add your first field button.
Two switches on the Settings tab change how pages are shown to respondents: Table of Contents adds a navigable list of pages, and Single Page Mode shows the whole form on one screen instead of paginating. Single Page Mode is unavailable while the form has property pages.
Set up conditional rules
On the Settings tab, the Conditional Rules card ("Set up conditional logic to show, hide, or modify fields based on user input") holds the form's conditional logic. Click Add Rule to open the rule editor, where you pick one triggering field and condition and one or more resulting actions. Targets are grouped into Fields, Sections, and Pages, so a rule can reveal or hide a whole section or page, not just a single question.
Existing rules are listed with a plain-language summary (for example, "When "State" equals "Yes" → Show "Follow-up question""); drag them to reorder or use the edit and delete icons. If the form includes Property Information pages, some rules are created and managed automatically to reveal or hide those pages — these don't appear in the list, and a note above it says how many.
Each rule takes exactly one condition, and Set Options offers no way to enter the options by hand. Conditional rules covers both limits and how to work around them.
Ask the assistant to do it
The Form Builder AI panel is open by default on the right of the canvas and can add fields, rearrange pages, write scoring criteria and rules, and set CRM mappings for you — with a Reject Changes button to undo a whole turn. See Build forms with the AI assistant.
Save your work
There's no separate save button — the builder autosaves about a second and a half after you stop editing. The header shows Saving… while a save is in progress, or Unsaved changes when edits haven't been saved yet. If a save fails it retries on its own, backing off from a few seconds up to half a minute, and your browser warns you if you try to leave with changes still unsaved.
What happens next
- Autosave writes your changes in the background; you can navigate between the builder's tabs and pages without losing work.
- Fields mapped to a CRM entity, or added through a Field Group with CRM auto-save turned on, create or update the matching contact, organization, project, or property records automatically when someone submits the form — filling blanks only, never overwriting what's already there.
- Nothing you build here is visible to respondents until you activate the form on the Publish tab.
Common questions
Q: Do I need to click Save before I close the builder? A: No. The builder autosaves automatically about a second and a half after you stop typing. Watch for Saving… to finish, or check that the Unsaved changes message is gone, before you navigate away.
Q: Why is the Field Type dropdown disabled for one of my fields? A: That field belongs to the Property Information pages — its type is either set by the property catalog or managed by the page flow itself, so it can't be switched from the field editor.
Q: What's the difference between a Field Group and a regular Field? A: A Field Group adds several related fields at once (like a full Address) and can optionally save the respondent's answers to a contact, organization, address, or property record in your CRM. A regular Field is a single question with no CRM connection unless you map it yourself under Advanced.
Q: How do I put two questions side by side on one line? A: Drag one field's grip handle onto the other field's row on the canvas. To separate them again, select one and click Split Row at the bottom of Field Details.
Q: Can I add a heading or a paragraph of instructions between questions? A: Yes — add a Typography field. It has a Markdown Content editor and a Style block for alignment, colour, and padding, and it asks nothing of the respondent.
Q: Can I show or hide a field based on someone's answer to another question? A: Yes, with a conditional rule on the Settings tab. A rule can also show or hide a whole section or page. See Conditional rules.
