Getting started
AI assistants in Incenti
Where each Incenti assistant lives, what data it can see, what it can and cannot change, how your conversations are stored, and the controls for chat history, clearing a chat, and the per-minute message limit.
Emails Incenti sends
Every email Incenti sends on your behalf or to you, who receives it, which ones also appear on the notification bell, what the subject lines look like, and why you cannot reply to them.
Invite and manage users
Add a teammate with a role and product access, see them on the Users list, send them an invitation, and edit, disable, or remove a user later.
Notifications and the bell
Read updates from the bell in the header, use the Notifications page's Inbox and Archived tabs, mark items read, archive them, and see which events notify you and which also send email.
Roles and permissions
How your account role (Admin or Member) and your product access decide what you can see and do in Incenti, exactly what each role can change, and what only Incenti staff can set.
Seat limits and what happens at the cap
How a product's per-account user limit is set, who it counts, what happens when the last seat is taken, and how to free a seat or raise the limit.
Sessions and security
How long a sign-in link and a signed-in session last, what returns you to the page you were on, why one email belongs to one account, what each error screen means — including the new-version reload notice — and what Incenti staff can see.
Sign in to Incenti
Sign in with your work email, Google, or Microsoft account, confirm your identity from the emailed link, understand every error screen you might hit, and sign out when you're done.
Welcome to Incenti
An overview of the modules available in Incenti, what each one is for, where you land after signing in, and where to go next depending on what you are trying to do.
Update your profile and theme
Open your profile from the user menu, edit your name, title, email, and phone inline, switch between Light, Dark, and System theme, and sign out.
Forms
Build a form: fields, pages, and rules
Add fields from the palette, arrange them into pages and sections, configure each one, map fields to your CRM, add conditional rules, and let autosave keep your changes in sync.
Build forms with the AI assistant
Use the Form Builder AI panel to add and rearrange fields, tables, pages, sections, scoring, rules and CRM mappings by asking for them — and reject a turn you don't like in one click.
Conditional rules
Build a rule that shows, hides, enables, disables, sets, or clears a field, section, or page based on an answer — and learn the limits: one condition per rule, show and hide that don't reverse, and Set Options.
Create a form
Start a new form from scratch, from a template, or by uploading an existing document, and name it before moving to the builder.
Duplicate, archive, and delete forms
Copy an existing form as a new draft, hide a form you're done with from your active list, restore it later, and understand why deleting a form isn't offered.
Field groups and reusable field sets
Add a Field Group to collect several related answers at once, choose where those answers are saved in your CRM, change a group's settings, and add the separate Property Information pages — and why consistent mapping matters for autofill and CRM sync.
Field types reference
Every field you can add to a form, what you can configure on it, what respondents see, and the settings shared by all fields — Required, Hidden, Key, Help Text, Split Row, Duplicate, Delete, and the canvas badges.
Form types
Understand what a form type is, pick one when you create a form, and see where types show up in the portal today.
Forms list: search, filter, and preview
Find a form on the Forms list with search, the status filter, and the Active and Archived tabs; read its columns; sort and page through them; preview a form as a respondent; and see why the list may be missing entirely.
Formulas and calculated fields
Write a formula that adds up other answers, reference fields and table columns, use the built-in functions, pick an output format, and fix the parse and "Unknown field" warnings the editor shows.
Map fields to your CRM
Use Auto Populate to connect a form field to a contact, organization, project, or property record, so a submission updates your CRM without retyping — and see which fields are mapped from the canvas.
Publish and share a form
Activate a form so it accepts responses, copy its public link or embed code, preview it, set a deadline, close it when you're done, and understand the status rules a form can and can't move through.
Request responses from contacts
Email a form to a list of people from an opportunity — picking contacts, uploading a CSV, or typing rows by hand — and understand what the recipients get, what lands in your CRM, and why nothing shows in Responses yet.
Form scoring criteria and AI scoring
Turn on scoring for a form, define the criteria AI uses to evaluate answers, and run Score with AI on individual or multiple responses from Responses.
Start a form from a template
Browse Incenti's published form templates, preview one, and create your own editable copy with its fields, pages, rules, and scoring already in place.
Responses
Answers Library: save and reuse answers
Save answers from a response into your Answers Library, add or edit entries by hand, and let the AI suggest them when filling out future forms.
Ask AI about your responses
Open the AI chat drawer on the responses list or a response's detail page to ask questions about responses, scores, and forms, and confirm any answer updates it proposes before they're saved.
Autofill a response
Use AI to fill in a response you're submitting — deterministic fills from your property, profile, and organization, then AI-proposed answers for what's left, with provenance you can review or change afterward.
Compare responses side by side
Lay every response to one form out in a single table — the overall score, each scoring criterion, and every answer as rows, one column per response — from the responses list or straight from an opportunity's Responses tab.
Create a response from a document
Upload a document from the responses list to have it turned into an answerable form, fill it in, and get the answers written back into the original document.
CRM sync and conflicts
What Incenti creates in your CRM when someone submits a form, how contacts, organizations, and properties are matched, why submitted values are sometimes kept out, and how to retry a failed sync.
Edit a response and fix field types
Change a response's saved answers from either side, understand what an edit does and does not trigger, and correct a question whose answer type was detected wrongly.
Export responses
Download one response as a CSV or PDF, download the completed copy of a document response, and know what each file contains before you send it on.
Received and Submitted responses
Understand the Received and Submitted tabs on the responses list, what lands in each, what every column means, and how to search, filter, sort, and act on responses in bulk.
Response statuses
What every response status means, who sets it, which transitions are possible, how the Received tab filters them by default, and what Incenti records when a status changes.
Review a response
Open a response's detail page to read its answers, change its status, connect it to an opportunity, check its CRM sync, export it, or remove it.
Score responses with AI
Find scores on the responses list and a response's detail page, run AI scoring on one or many responses, understand how the percentage is worked out, and filter by score.
Upload a completed response
Upload an application you already filled out as a PDF, Word, or Excel file so its answers are read into a response you can search, link, and reuse.
Upload a response against an existing form
Attach a completed copy of one of your published forms that an applicant sent back as a file, so it joins that form's responses, gets scored, and is recorded as theirs.
Filling out forms
Continue a form in Incenti when you are signed in
If you already have an Incenti account and open another organization's form link while signed in, you can continue filling it out inside the portal instead — with suggestions, Autofill, and the AI assistant to help — and submit it from there.
Duplicate submission warning
Why a form asks about your email mid-way through, what the "Resume your draft?" and "You've already submitted" screens mean, and what to do about each.
Fill out and submit a form
Open a form link, move between pages, fill in required fields, upload files, and submit — including the file limits, the validation messages you may see, and what you can change afterwards.
Save progress and come back later
Understand how a public form auto-saves your answers to the server, the on-device copy that protects them if a save fails or Incenti updates while you're on it, the two ways to get back to a draft, and what is and isn't kept if you leave before submitting.
Why a form says it is closed
Understand the "not yet available" and "no longer available" messages you might see instead of a form, what a bad or expired link looks like, and what to do next.
Contacts and pipeline
Contacts and organizations
Find, create, and manage the contacts and organizations your account works with — including linking contacts to an organization, setting a primary contact, adding custom fields and addresses, and deleting a record.
Import contacts from a CSV
Prepare a CSV of contacts, review and fix the rows in the import preview, start the import, and understand how existing contacts are matched, how organizations are chosen, and what the completion email and notification tell you.
Add notes to contacts, organizations, and opportunities
Add a note to a contact, organization, or opportunity, optionally attach the same note to other records at once, edit it, and either unlink it from one record or delete it everywhere.
Work an opportunity
Open an opportunity's detail page to review its summary, contacts, economic impact, metrics, tasks, and notes, work its Responses, Documents, and Incentives tabs, and — as an account admin — use the Actions menu to edit it, request responses, generate a form link, or delete it.
Opportunity statuses
The Status list an opportunity uses, which differs for economic development organizations and site selection firms, how each status is categorized, how Status relates to a pipeline's columns, and who is notified when it changes.
Pipelines: board, table, and statuses
Create a pipeline from scratch or a template, move opportunities through its statuses on the board or table, and manage statuses, archiving, and deletion from pipeline settings.
Tags
Create account-wide colored tags, put them on contacts, organizations, and opportunities, change or remove them, and filter the Contacts list by tag.
Tasks on an opportunity
Create, edit, complete, and delete the tasks tracked on an opportunity, see who gets notified, and understand what tasks deliberately don't do — no emails, no reminders, and no account-wide task list.
Insights
Find who you compete with (Analyze)
Use the guided Analyze wizard to pick a community and a project type, see your ten closest competitors, run a head-to-head against any of them, read your scorecard against the whole set, and save the result as a compete report.
How Analyze picks and ranks your competitors
The math behind the Analyze wizard: how each project type weights the five layers, how similarity and the ten-peer set are built, which measures each project type compares at each level, how wins and the scorecard are decided, and what the compete report's PDF includes.
Ask Insights (AI)
Ask natural-language questions about locations, costs, workforce, risk, incentives, and EDD regions, and get a grounded answer with a data table, sources, and follow-up suggestions, saved to a conversation you can revisit or share.
City-level data
How the City level works: the fourteen indicators measured for the place itself, why small towns show dashes and a Partial ACS coverage badge, what CDP and the Incorporated only filter mean, which extra indicators are inherited from the county, and how the map decides what to draw.
Compare locations
Select two or more states, metros, counties, or cities in Explore to see them side by side: a compact panel in the right rail, or a full comparison screen with a metric-by-metric table and best-value highlighting.
County and metro data quality
What to trust in county and metro figures: which county values are modelled rather than measured, why county regulatory fields and electricity rates match the state, why most metros show a dash for two health metrics, why a whole state can vanish from the map, and where coverage stops.
Where Insights data comes from and how often it refreshes
The full metric catalogue for states, metros, counties, and cities with the source and refresh cadence behind each number, the monthly ingestion calendar, which fields are transcribed by hand and never refresh, and what happens when a source is unavailable.
Explore EDD regions
Switch Explore to the Economic Development District overlay to see each district's coded business priorities, filter and search districts, drill into the district serving a state or county, and export or report on your selection.
Explore a location
Browse states, metros, counties, and cities on the map, table, or both, filter by any metric, select a location to see its detail metrics and benchmarks, and export or start a report from your selection.
Export and CSV formats
What each Explore export actually downloads: the selection caps and their messages at every level, the file names, the columns in the state, county, metro, city, and EDD files, what a blank cell means, and which screens cannot be exported at all.
How Insights scores are calculated
The exact formulas behind the Composite Score and the five category scores at State, Metro, and County level: which metrics feed each score, their weights and scaling ranges, how ranks, percentiles, and badge colours are worked out, and why one place scores differently at different levels.
Incentive Intelligence: awards and programs
Explore Incenti Subsidy Intelligence, a proprietary dataset of disclosed incentive awards across 51 jurisdictions, alongside the Programs Offered catalog of verified current state programs, competitiveness scores, megadeals, and company deal comps.
How Incentive Intelligence figures are computed
The methodology behind the Incentives screen: how dollar figures are normalized, how the Incentive Competitiveness Score is built, what the tiers, categories, source labels and coverage tiers mean, how recipients are classified, and how often each dataset refreshes.
Reports and exports from the Incentives screen
Which outputs on the Incentives screen are saved to your account's report history, which only print, and which download a spreadsheet — with the file names, columns and caps for each, and what the screen cannot export at all.
Insights overview and data coverage
Understand what Insights is, how to get to it, what each sidebar area does, the geography levels it covers, how scores work at a glance, and what is and is not included in the data.
Create and export Insights reports
Pick a report type and one or more locations, generate a profile or comparative report, download it as a PDF, and revisit past reports from the report history list.
Dashboards
Build a dashboard with AI
Start a dashboard from a chat prompt instead of a template, review the charts the assistant proposes, confirm or reject them, and keep refining the dashboard from its chat panel afterward.
Chart fields reference
Every field each dashboard data source offers — what you can group by, filter on, and aggregate, the exact values of each list field, which dates a date range can use, and whether drill-down rows open a record.
Classic dashboards
Understand the older Dashboards page most accounts see today — an embedded dashboard Incenti sets up for you, a switcher for accounts with more than one, and how to ask for the newer Dashboards 2.0 experience.
Create a dashboard from a template
Open the New dashboard chooser, browse the template gallery with its sample-data preview, and create a dashboard from a template you can adapt.
Dashboard templates reference
See exactly what the EDO Dashboard and Site Selector Dashboard templates contain, chart by chart, which account type sees which, and what happens to a dashboard after you create it from one.
Edit a dashboard: layout, charts, and KPIs
Rename a dashboard, add and configure charts by hand, drag to reorder and resize tiles on the grid, and manage the saved KPIs your Stat charts can reference.
Filter a dashboard and drill into a chart
Apply dashboard-wide filters, share a filtered view by its link, click into a chart to see the records behind a bar, slice, or KPI, and export those records to CSV.
Understand where dashboard KPI values come from
See what a KPI card is actually built from — a built-in account field, a custom tracked metric, or a calculation like a rate or ratio — and how each one is aggregated, scoped, and formatted.
Compliance
Export compliance awards to CSV
Download the Compliance list as a CSV file — either the rows you've ticked or every row currently visible — and know exactly which 22 columns and formats it contains.
Record an incentive award on a project
Add or edit an incentive award on a project's Incentives tab, understand which fields the Program/Incentive cascade fills in for you, attach supporting documents, and see how recording an award ties the project into Compliance.
Track compliance on incentive awards
See every incentive award tied to a won project, read the summary cards and filters, sort and search the list, and open an award's detail page to review its terms, documents, and follow-up date.
Programs
Manage your incentive programs
See every incentive program your economic development organization administers or tracks, filter and search the list, review budget progress, and add a new program with its designation and status.
Edit a program and its incentives
Read a program's status and completeness banner, set its budget, add and edit incentives, update its detail cards and content sections, and use the admin-only actions menu to edit, archive, or delete the program.
Program types, providers, and incentive types
Maintain the Program Type, Provider, and Incentive Type lists your organization uses to categorize programs and incentives, from the Manage menu or inline while adding a program or incentive.
Properties
Add, edit, and delete properties
Add a property through its seven-tab form, edit an existing one from the list or its detail panel, understand validation rules, and delete a property for good.
Import and export properties
Download the import template, bulk-import properties from a CSV file or pasted JSON, review row-by-row results, and export every property on the account to CSV.
Use properties with responses and projects
See how a mapped form submission creates or updates a property, where the link shows on the property and the response, how properties connect to a project through its responses, and where properties feed autofill.
See properties on the map
Switch the property directory to the map view, read pin colors and clusters, click between pins and list rows, and understand how a property gets a pin in the first place.
Browse the property directory
Open Properties, read the stat cards, search and filter the list, switch between grid, list, and map views, and open a property's detail panel from a shareable link.
Reports
Create and manage reports
Find the Reports module, create a report of the right type, see what's on a report page, and archive, unarchive, or restore reports you're done with.
Build an Economic Impact report
Enter a project's timing, capital investments, and employment figures to see year-by-year jobs, payroll, and capital value projections.
What's in an exported file
See the exact sections and columns each report type puts in its PDF and CSV, which labels differ from the ones on screen, and what the account logo, the Incenti footer, and the public download link mean.
Build a Fiscal Impact Analysis report
Enter tax rates, property values, and spending assumptions into a Fiscal Impact Analysis report to estimate the new annual property and sales tax a redevelopment would generate.
Build a Loan Amortization report
Enter a loan's amount, rate, term, and start date to generate a monthly payment schedule you can share with a company or export.
Publish and export a report
Turn a Draft report into a Published one by exporting it as a PDF or CSV, export it again in another format, archive an old export, and link exported documents to a project.
Account
View and update your account settings
Open your organization's account page to review its profile, logo, and stat cards, edit the fields you're allowed to, and use the Users, Metrics, Addresses, Documents, and Responses tabs.
Manage your account's addresses
Open your account's Addresses tab to view every address on your organization's record, and, as an account admin, add, edit, or delete them.
Define custom metrics for opportunities
Create account-wide custom fields — like Jobs Created or Capital Investment — so every opportunity in your pipeline can carry a value for them, then record and view those values on each opportunity.
What is kept, archived, and deleted
What archiving and deleting actually do to each kind of record in Incenti — forms, responses, reports, dashboards, documents, users, contacts, opportunities, notifications, and chats — and what support can bring back.
Upload and manage documents
Upload files to your account, an opportunity, a contact, or an organization, then find, edit, download, or delete them from the Documents tab, and open a linked document in the full-page viewer.
Parent accounts and sub-accounts
What the Sub-accounts tab shows, why linking one is an Incenti operation, what a parent account can and cannot reach in a child account, and how the Account scope dashboard filter uses the relationship.
FAQ
Contact support
How to reach Incenti support by email, from the Knowledge Base icon in the portal, or through the in-app assistant, and what to include so support can help faster.
