See all your tasks in My tasks

Open My tasks to see every task across your projects in one list, filter it, mark tasks done, and edit them in the task drawer.

Before you start

  • My tasks is at the top of the sidebar, above Dashboards, and opens /tasks. Every user on your account sees it, admins and members alike.
  • A task always belongs to one project (an opportunity). My tasks gathers tasks from all your projects in one list.
  • Tasks send reminders as in-app notifications (never email) when they're due soon and when they're overdue. See What happens next.

Steps

Read the list

The page is headed My tasks, with the line "Every task across your projects, in one list." Open tasks (To do and In progress) are grouped into cards:

GroupWhat's in it
OverduePast due. Shown in red.
TodayDue today.
This weekDue tomorrow through Sunday.
LaterDue after this week.
No dateNo due date set.

Empty groups are hidden. Groups use your computer's time zone. A task with only a date becomes overdue the day after its due date; a task with a time becomes overdue once that time passes.

Inside a group, the earliest due task comes first (a task with only a date sorts after timed tasks on the same day), then High, Medium, and Low priority, then the oldest task first.

Each row shows:

  • A checkbox to mark the task done.
  • The task name, with an Incenti AI badge on automated tasks.
  • The project, then "Waiting on" and the contact's first name if the task has a Waiting on contact.
  • A priority flag: High in red, Medium in amber, Low in gray.
  • The due date with a clock icon, such as "Overdue · Fri, Oct 2", "Overdue · Yesterday", "Today", "Tomorrow", "Thu, Oct 8", or with a time "Fri, Oct 9 · 2:00 PM".
  • The assignee's initials.

Choose what to show

Use the filter pills at the top:

  • Assigned to me (the default) shows tasks whose assignee is you.
  • Created by me shows tasks you created.
  • Everyone on my team shows every open task on the account.
  • Waiting on others shows every task on the account that has a Waiting on contact, not just yours, with a count on the pill.

The Project filter reads "Project: All" by default. Pick one project to narrow the list to its tasks. Tick Show completed to add a Done group with tasks completed in the last 30 days, plus tasks marked Won't do.

Your filters are kept in the page address, so you can bookmark a view or share the link with a teammate.

Mark a task done

Click the checkbox on a row. A "Task completed" toast appears with Undo; click it to bring the task back.

Create a task

Click New task to open the task drawer. The assignee starts as you, and Project is required. See Tasks on an opportunity for every field in the drawer.

Edit or delete a task

Click a row to open the task drawer and change any field, then click Save. To remove a task, click Delete in the drawer footer and confirm. A toast follows with Undo.

Use Waiting on

Waiting on is an outside contact the task depends on, such as a client who owes you a document. The task stays with your teammate, who remains the Assignee. Choose the contact in the drawer, and the row shows "Waiting on" and their first name. The Waiting on others pill collects these tasks account-wide.

What happens next

  • Marking a task done sets its status to Done. Notifications for new, reassigned, and completed tasks work the same as on a project; see Tasks on an opportunity.
  • Completed tasks leave the open groups right away. They reappear under Done when Show completed is on, for 30 days.
  • Reminders: the assignee (or the creator, if nobody is assigned) gets an in-app notification when a task is due soon (the day before at 8 AM for a task with only a date, 24 hours before for a task with a time) and when it's overdue (8 AM the morning after the due date for a date-only task, as soon as the time passes for a timed task). Click the notification to open the task here. Completed and Won't do tasks get no reminders, and changing the due date sets them up again. The 8 AM reminders arrive at 8 AM in your own time zone, taken from your browser. Tasks never send email.

Common questions

Q: Where is the list of all my tasks? A: Open My tasks at the top of the sidebar. It lists tasks from every project, grouped by when they're due.

Q: Why don't I see a task a teammate made? A: Assigned to me only shows tasks assigned to you. Switch to Everyone on my team to see every open task on the account, or Created by me for ones you made.

Q: Where did my completed tasks go? A: Tick Show completed. The Done group shows tasks completed in the last 30 days and tasks marked Won't do.

Q: Will I get a reminder when a task is overdue? A: Yes, an in-app notification, not an email. It arrives at 8 AM the morning after the due date for a task with only a date, or as soon as the time passes for a task with a time. Overdue tasks also sit in the red Overdue group at the top of the list.

Q: Why is a task showing as overdue when it's due today? A: A task with only a date becomes overdue the day after that date. A task with a time becomes overdue as soon as that time passes, using your computer's time zone.

Q: Can I share my view with a teammate? A: Yes. Your filters live in the page address, so copy the link from your browser.
