Contacts and pipeline

Create contacts from logged emails

Let EDOS create contacts for new people on logged emails, choose whether CC-only people count, and find those contacts by their From email badge.

Before you start

  • Incenti turns on email logging for your account. The settings in this page, and the From email only filter, appear only after it is on.
  • You must be an account admin to change the settings. Anyone on the account can see the contacts it creates.
  • The settings apply to emails that anyone on your account logs. See Log an email to a contact or organization.
  • Both settings start off. By default a person who matches no contact is not created, and the email waits on the Unlinked tab of the Emails page.

Steps

Turn on contact creation

  1. Click your name at the bottom of the left sidebar and choose Account.
  2. On your own account page, find the Email logging card. It says "Applies to emails anyone on this account logs."
  3. Turn on Create contacts from logged emails. The change saves at once. If it cannot be saved, you see "Failed to save email logging settings" and the switch goes back.
  4. Optional: turn on Include people only on CC to also create contacts for people who were copied but are not the sender or a direct recipient. This switch is unavailable while the first one is off.

Only account admins see the card, and only on their own account's page.

Who gets created

When a person on a logged email matches no contact you can see, EDOS creates one. It does not create a contact for:

  • anyone who is a user on your account, or whose address is on your account's own domain;
  • automated senders, meaning addresses that begin with noreply, no-reply, donotreply, do-not-reply, mailer-daemon, postmaster, notification or notifications, or bounce or bounces (also with a suffix such as "noreply+news");
  • free-mail addresses such as gmail.com;
  • anyone who is only on CC, unless Include people only on CC is on;
  • an address that any contact in your account already has, including a contact you deleted earlier. Deleted contacts are never brought back;
  • an address that an Incenti-provided contact already has, even if your account cannot see it;
  • Incenti's own logging addresses.

A person counts as "only on CC" when they are on Cc but not the sender and not in To.

What the new contact looks like

  • The email address comes from the email. The first and last name come from the display name: "Jane Doe" becomes Jane and Doe, "Jane van der Berg" becomes Jane and "van der Berg", "Doe, Jane" becomes Jane and Doe, and a single word becomes a first name only. If the display name is itself an email address, the contact has no name.
  • The contact belongs to your account, and its owner is the person who logged the email.
  • At most 10 new contacts are created from one logged email: first the sender, then people in To, then people in Cc, in the order they appear. Anyone past the limit is not created, and the person who logged the email gets a reply saying how many were left out.
  • If your organizations have a Domain that matches the person's email domain, the contact is added to those organizations, and only to ones in your own account.
  • The contact is linked to the conversation, so it appears on the new contact's Emails tab at once.
  • The contact carries a From email badge, next to the tags in the contacts list and under the name on the contact's page.

Find contacts that came from email

  1. Open Contacts.
  2. Turn on From email only next to Hide Incenti contacts. The list then shows only contacts created from logged emails.
  3. Review the list. You can edit, tag, or delete them like any other contact.

The switch appears only when email logging is on for your account.

What happens next

  • New contacts are created at the moment an email is logged. Nothing is created for emails logged before you turned the setting on, and turning it off later does not delete contacts that were already created.
  • A new contact has only a name and an email address. Fill in the rest from the contact page.
  • If the setting is off, or a person is skipped, the email is still logged. It links to the people who did match, or to the Unlinked tab of the Emails page when nobody matched.
  • Auto-created contacts are ordinary contacts. Deleting one does not delete the logged emails, but it does remove their link to that contact.

Common questions

Q: Why wasn't a contact created for someone on my logged email? A: Check the rules above. The usual reasons are a free-mail address such as gmail.com, a noreply address, a person only on CC while Include people only on CC is off, or a contact with that email address that already exists in your account, even a deleted one.

Q: Can I turn this off again? A: Yes. Turn off Create contacts from logged emails. Contacts already created stay.

Q: Why is Include people only on CC greyed out? A: It only applies when Create contacts from logged emails is on.

Q: How do I tell which contacts EDOS created? A: Look for the From email badge, or use From email only on the contacts list.

Q: I do not see the Email logging card on my account page. A: The card is shown to account admins, on their own account's page, and only when Incenti has turned on email logging for the account.
